How does Wiresk work?

Estimated reading time: 5 min

Wiresk is a platform that helps you automate tasks between your apps. You don’t need to write any code.

Instead of doing repetitive work manually, such as copying data from Gmail to Google Sheets or creating follow-up tasks in HubSpot, Wiresk lets you build automated workflows. These are called Flows. A Flow connects your apps so that when something happens in one system, such as receiving a new email or adding a new contact, Wiresk automatically takes action in another system. For example, it might update a spreadsheet or send a message.

Wiresk is used by companies, teams, and partners who want to:

  • Save time by automating routine tasks
  • Keep their systems in sync, such as CRMs, files, calendars, and forms
  • Reduce errors from manual entry
  • Build flexible and reliable workflows between cloud tools

You don’t need to be a developer to use Wiresk. The visual interface guides you through each step of building your workflow.

To understand how Wiresk works, you need to know six key concepts. These are the building blocks used in every automation.

A Group is where you organize users and workflows. Each Group has its own set of Flows, app connections, and permissions. You can invite teammates, assign roles, and manage what they can see or edit. Most users start with one default Group and can add more later if needed.

A Flow is a step-by-step automation that connects your apps. It always starts with a Trigger and includes one or more Methods to perform actions. For example, a Flow can say: “When I get a new email, create a row in my spreadsheet.”

A Trigger is the starting point of a Flow. It tells Wiresk when to start the automation. Triggers can be based on time (like every day), or on events (like receiving an email or creating a new contact in your CRM).

A Method is an action that Wiresk performs inside the Flow. For example, sending an email, updating a record in your CRM, uploading a file to Google Drive, or creating a task in your project management tool. You can have one Method or multiple Methods in a single Flow.

A Connection links Wiresk to your apps, such as Gmail, Notion, QuickBooks, or Zoho. Most Connections use OAuth login or API keys. Once connected, you can use data from those apps inside your Flows.

Field Mapping lets you choose how data moves from one app to another. For example, you can take the sender’s email from Gmail and map it to the “Contact Email” field in HubSpot. You can map fields manually or use dynamic values from previous steps.

If you’re new to Wiresk, the platform will guide you through the basics. Here’s what to do first.

Sign up at wiresk.com using your email. Once your account is active, Wiresk will create a default Group for you. You can rename it or create additional Groups if needed.

Your Group is where you organize Flows, users, and Connections.
From the Admin Settings, you can:

  • Invite teammates and assign roles (Admin or Developer)
  • Manage permissions per Group
  • Create more Groups if you work with different clients or projects

Go to My Apps and connect the services you want to use, such as:

  • Google Workspace (Gmail, Drive, Sheets)
  • HubSpot CRM
  • Notion
  • Odoo
  • QuickBooks
  • And more
Wiresk "My Apps" section displaying a list of connected applications. The selected app is "zoho trial account," and the right-side panel shows the configuration for the Zoho connection. The user must select the Zoho domain (defaulted to "Zoho US (Global)") and authorize access to Zoho CRM with scopes for reading, creating, updating, and deleting resources and user data. Buttons for "Test" and "Authorize" are shown at the bottom of the panel.

Some apps require OAuth login. Others may need an API key or developer credentials.

Open the Flow Builder and:

  • Choose a Trigger (for example, “New contact in HubSpot”)
  • Add one or more Methods (for example, “Send an Email from Gmail”)
  • Map the fields based on your data
  • Save the Flow

Use Run Once to test your setup manually.
Use Run Scheduler if you want to simulate a real-time schedule.

Check the logs to make sure data is moving correctly. Errors, if any, are shown clearly with instructions on how to fix them.

Once everything looks good, let your Flow run on its schedule.
You can monitor activity in the Flow list and see if your Flows are running properly or need updates.

In the Flow management list, there is a column called Flow Execution. It shows the number of successful runs and failed runs for each Flow. This helps you track performance and spot issues early.

Let’s walk through a simple example to show how Wiresk works from start to finish.

Goal:
When a new contact is added in HubSpot, automatically add a new row in Google Sheets with the contact’s details.

1. Create a new Flow in your Wiresk Group.

      2. Add a Trigger:
Choose “HubSpot – Retrieve New Records.”
      Select the Contacts entity.
Set the recurrence rule to run every 15 minutes.

The Flow includes an HTTP Trigger and three steps for creating records in Odoo and Microsoft Dynamics. The right panel allows manual input and execution of the Flow for testing purposes.

      3. Add a Method:
Choose “Google Sheets – Insert Row.”
Select the spreadsheet and sheet where you want the data added.

      4. Map the Fields:

      • Map the HubSpot “First Name” field to the first column in your sheet.
      • Map “Last Name” to the second column.
      • Map “Email” to the third column.
You can map any other fields you need.

The right panel displays field mapping where HubSpot contact properties like email, first name, and last name are dynamically mapped to corresponding columns in the spreadsheet using data paths such as 'properties/email'.

      5. Test the Flow:
Use “Run Once” to test with a recent HubSpot contact.
Check your Google Sheet to make sure the row was added correctly.

The right panel is open to the Run Flow tab, with a JSON payload prefilled for manual testing. The bottom left shows the Run and Statistics buttons, while the Run Results area displays a successful execution timestamp.

        6. Go Live:
Once the Flow is tested, it will automatically run based on your recurrence settings.

          Result:

Every time a new contact is added in HubSpot, Wiresk will instantly write the details into your spreadsheet without any manual work.

Wiresk is designed to make automation simple, flexible, and reliable. Below are the features that set it apart.

          Works Across Many Apps

You can connect Wiresk to tools like Google Sheets, Gmail, Notion, HubSpot, Odoo, QuickBooks, Zoho CRM, and many others. This allows you to automate processes that involve multiple platforms without switching between them.

          Handles Complex Flows

Each Flow can include up to 255 steps. This gives you the ability to create multi-stage workflows that go beyond basic triggers and actions. You can collect data, apply logic, transform it, and update multiple apps— all in one Flow.

Wiresk also supports advanced features such as Functions (e.g., formatting, calculations), built-in Tools (like Filter, Merge, Flatten), and Failure Routing options to define what happens if a step fails. This makes it possible to design robust, conditional workflows that handle a wide range of business scenarios.

          Designed for Teams

With the Group system, you can manage users, assign roles, and control access to specific Flows. This makes it easy to collaborate while keeping your workspace organized and secure.

          Strong Error Detection

If something goes wrong during a Flow run, Wiresk shows you exactly where and why it failed. Each error message is tied to a step and includes details to help you fix the issue quickly.

          Dynamic Field Mapping

When setting up a Method, you can map fields using data from previous steps. Just type @ to access available values. This gives you full control over how information moves from one app to another.

          Preview and Test Tools

Before going live, you can test Flows using sample data or live inputs. The “Run Once” and “Run Scheduler” tools help confirm that your setup works as expected before automation begins.

Wiresk provides support and documentation to help you build and manage your automations with confidence.
